Minutes of Loxley Primary School PFA Meeting

 

 

Held Tuesday 17th July 2007, 7.30pm at the Malin Bridge Inn

 

 

Present:          Karen Southwood, Helen Whitehouse, Janet Okoroafo, Dave Ibbotson, Fiona Parker, Jayne Hargreaves, Lynne Guest

1.       Review minutes from last meeting – KS
All items taken as read.

a)     Bird table:  this is still ongoing.

b)     Wetpour surface for playground:  Mrs Fletcher has seen the council Health and Safety rep and they have agreed that this will be installed in front of the Horsa hut. We are waiting for quotes before taking this further.

2.      Summer Fair - All

Despite unpromising weather this was deemed to be a great success. This annual event is provided as a treat for the children and is one of the main items of expenditure for the PFA. Overall we made a loss of £290.40, which was better than anticipated.
Responses to the questionnaire showed generally positive comments with lots to think about for next year.

3.      Xmas Fair – All
This year’s event will take place Saturday, 24th November. We discussed various options for the theme and decided upon PANTOMIME (oh no you didn’t, oh yes we did!!)
We also agreed that it would be good to have a grand opening ceremony. KS will write to the Lord Mayor’s office to invite Arthur Dungworth to do the honours.

a)     Programme: Glenda Kirby will take charge of production. We agreed that once again, the children would be given 4 per family to sell at home and that there would be a competition for the design of the front cover.

b)     Leaflets/posters/local media: again, GK will take charge of marketing. HWh will assist with distribution.

c)     Banners: FP will check if they still have the banner in storage. If not, KS will check in the school basement.

d)     Auction: KS will write letters to ask for donations and will put a notice on the website. She will provide a list of who she is approaching to prevent duplication. KS will approach her employer, Norwich Union, to see if they would be willing to sponsor the event. She will also approach Bradfield Parish Council for donations as HWh informed us that they have funds allocated for this type of community event. We assumed Jill Marsden-Revitt would run the auction but KS will ask her to confirm.

e)     Raffle: JH and JO will organise. Tickets will be sold at £1 per strip. FP has a large wicker hamper which we can use for one of the major raffle prizes. As usual we will ask the teachers to provide the contents.

f)     Café: HW will organise this again, with assistance from her husband, Paul, LB and any other willing volunteers.

g)     Grotto: Bill Parker no longer has the marquee business so, sadly, we will need to make alternative arrangements. FP will investigate what is left at their house. HWh has a gazebo, which could be used to hang canvas paintings. HWh said that Miranda Hobson had painted the scenery for the school play on dustsheets from B&Q. Everyone agreed that these were very impressive and if necessary we should consider approaching her to design something for the grotto.
Once again, Debbie Lowe’s dad and Liz Lee’s friend have kindly agreed to play Santa.
Gifts for the grotto, wrapping them etc. will be discussed at the next meeting.

h)     Entrance and treasury: DI will take charge, with assistance from Liz and Ian Lee. He asked that we ensure that all cash goes through the office so that he can keep track of takings for his accounts.

i)       License: we need a trading license for this event, DI will take responsibility for the application.

j)      Games room: we agreed to ask Y6 to run this again, to include, sandart, playstation, splat the rat and face painting.

k)     Crafts/concessions: KS will contact last year’s stallholders to secure bookings. We agreed to charge £20 per stall.

l)       Stalls: (people who ran these last year will be asked to do so again)

            Xmas decorations: there is no stock left so we agreed to replace this with an old favourite, the tombola. This will be toys only and hopefully be run by Maria Crowley, Julie Turner and Jeanette Pearson.

            Bottles: we need a volunteer to run this and lots of donations. KS seek advice from JMR on how to approach John Miles and Bradfield Brewery for a barrel of beer for a Guess the weight of the barrel competition.

            Toys: need more donations and more volunteers as James Connelly will no longer be in school.

            Cakes: Alison Foulkes and Mel Gill will hopefully run this as usual with possible ideas for alternatives. DI will bake a fruit cake for a How many raisins in the Xmas cake? competition.

            Crafts: as usual this will hopefully be organised by FP, HWh and Liz East.

            Books/Cds/DVDs: need lots of donations, hopefully this will hopefully run by Angela Plampin and Steve Foulkes.

            Xmas wrapping: KS will ask Mrs Carroll and Mrs Nash if they would be willing to do this again.

            Bric-a-brac: there was mixed views about whether or not to reinstate this stall. Further discussion and a decision will be made at the next meeting.

4.      Any other business – All
Craft Club: we agreed that this will start Weds 19th September, straight after school. KS will contact all those on the waiting list. Jayne Hargreaves and Maria Crowley will run it with assistance from KS and JO. JH asked for donations of pots of paint samples.
